Malaysia eVisa for Employment Pass Holders

Working in Malaysia raises two separate questions: has your employment been approved, and does your passport need an entry visa to get you there? This page explains how the two fit together, which documents the checker lists for employment cases and how to prepare for the journey.

Understanding Employment Entry Requirements

An Employment Pass and an entry visa answer different questions. One concerns permission to work, the other concerns permission to arrive, and many travellers meet them one after the other.

Permission to work

Employment Pass and approval

What it is
Authorization connected to approved employment in Malaysia.
Who is involved
Typically the sponsoring employer, working through the approval process with the authorities.
Why it matters
It is the basis on which an employment stay rests.
What it is not
On its own, it does not stand in for an entry visa where one applies.
Permission to arrive

Entry visa

What it is
A visa that allows a traveller to enter Malaysia, needed only where the passport calls for one.
Who it concerns
Travellers whose nationality requires a visa before arrival.
How it relates
In an employment case it builds on approvals that are already in place.
What it is not
It is not an authorization to work.
  • Why this is not a tourist visa

A tourist visa covers a short leisure visit. Employment is a different purpose with its own approvals, which is why the checker keeps it as a separate category with its own document list.

  • Why nationality changes the route

Your passport decides whether a separate entry visa is needed at all. Two colleagues with identical job offers can therefore be sent down different routes.

Who May Need This Category?

Five things shape whether this category applies to you and what the next step is. Not every worker needs a separate eVisa.

  1. Nationality

Your passport determines whether a separate entry visa applies and what the checker shows for you.

  2. Employment purpose

The category is for travel connected to approved employment. Short business trips are treated as a different category.

  3. Sponsoring employer

A sponsoring employer is usually central, both to the approval itself and to the papers that support it.

  4. Existing approval status

Whether the approval has already been granted decides which step comes next.

  5. Applicable entry-visa requirements

Even with an approved pass, a separate entry visa is needed only where your passport requires one.

For employment, the checker sorts passports into three groups. The wording below is the checker's own.

  • Entry visa required, with prior approval

Entry visa required; prior approval may also be needed. An eVisa application alone does not grant an Employment Pass.

  • No separate entry visa, but the pass approval is required

Separate entry visa not required; work pass approval (such as an Employment Pass) is required.

  • Needs further confirmation

Employment Pass approval is required; whether a separate entry visa applies needs further confirmation.

Employment Documents

The papers below are drawn from the catalog and rules that power the homepage checker. They describe what is usually listed for employment cases; they do not decide an approval. For a list tailored to your nationality and situation, use the checker.

Approval paperwork

  • VDR (Visa With Reference) Letter from Immigration Department

Visa With Reference letter issued by the Immigration Department.

  • ESD (Expatriate Services Division) Approval Letter

Approval letter from the Expatriate Services Division.

  • Employment Pass Approval Notification

Notification of your Employment Pass approval.

The Visa With Reference letter sits with the approval paperwork. In the checker it matters only where an entry visa is needed.

Employer and contract

  • Employer's Company Registration Documents

Registration documents of your employer's company.

  • Employment Contract

    Your signed employment contract.

Identity

  • Passport Bio Data Page

Clear color scan or photograph of the passport biodata page.

  • Face Photograph

    Recent passport-sized photograph with a white background (35 mm × 50 mm).

Documents that depend on your situation (6)

Each item below is tied to a condition, and the checker shows it only if that condition fits you.

  • Birth Certificate

Required · when the applicant is under 16

  • Old Passport Bio Data Page

Required · when an expired passport number is shown on your current passport

  • Singapore PR Card — Both Sides

Required · when you apply from Singapore as a permanent resident

  • Singapore Re-Entry Permit Copy

Required · when you apply from Singapore as a permanent resident

  • Emirates ID — Both Sides

From Approval to Arrival

The route from an employment offer to the first day in Malaysia runs through five stages. Who acts changes along the way.

  1. Employer and authorities

    Employment approval is obtained

The employer and the authorities complete the employment or immigration approval on which the Employment Pass rests.

  2. You and your employer

    Supporting documents are gathered

Approval letters, employer registration papers, the contract and your passport details are collected and checked against one another.

  3. You

An entry visa is applied for, where applicable

If your passport requires one, this step builds on the approvals already in place.

  4. Authorities

    Immigration review

The authorities look at what has been submitted and may ask for more.

  5. You and the authorities

    Entry and pass formalities

After arrival, any further formalities connected to the pass are completed as they apply.

Preparing for Travel

A little organisation before departure keeps an employment start from being held up by small things.

Paperwork

  • Keep approval letters where you can reach them, in print and on your phone.
  • Check that names, dates and passport details agree across every document.
  • Compare your passport's validity with the requirements that apply to your trip.
  • Carry copies of the documents the checker lists for your case.

Practicalities

  • Confirm start arrangements with your employer before booking flights.
  • Leave room between the approvals and your travel date.
  • Keep your employer's contact details handy in case an officer asks about the role.
  • Avoid non-refundable bookings until the approvals you need are confirmed.

Employment Pass eVisa FAQs

Answers to questions people ask about employment entry to Malaysia.

Is an Employment Pass the same as an entry visa?

No. An Employment Pass concerns permission connected to approved employment, while an entry visa concerns permission to enter Malaysia. The checker states that an eVisa application alone does not grant an Employment Pass, and for some passports a separate entry visa is not required at all even though the pass approval still is.

Does my employer have to be involved?

Employment approvals typically involve the sponsoring employer, which is why the checker lists Employer's Company Registration Documents and Employment Contract among the papers. The exact arrangements depend on the approval concerned, so confirm them with your employer.

Which documents does the checker list for employment cases?

For an applicant with no special circumstances, the checker lists Passport Bio Data Page, Face Photograph, VDR (Visa With Reference) Letter from Immigration Department, ESD (Expatriate Services Division) Approval Letter, Employment Pass Approval Notification, Employer's Company Registration Documents and Employment Contract. A further 6 items appear only in particular situations, so use the checker to see what applies to you.

What is a VDR letter, and does everyone need one?

VDR (Visa With Reference) Letter from Immigration Department. The checker describes it as: Visa With Reference letter issued by the Immigration Department. It is listed with the approval paperwork, and Visa With Reference items apply only where an entry visa is needed. It is not requested from every applicant.

Does applying from another country change the documents?

The checker asks which country you apply from, and some places bring in additional items such as Singapore PR Card — Both Sides, Singapore Re-Entry Permit Copy, Emirates ID — Both Sides and No Objection Certificate (NOC). These are conditional on the country concerned, never universal.

What if the authorities ask for more documents?

Read the request closely, send exactly what is asked in the way requested, and make sure names and passport details match your other papers. Keep a copy of what you send and reply as soon as you reasonably can.

Does an approved Employment Pass guarantee entry?

No. Approvals are part of the process, but entry to Malaysia remains subject to the applicable immigration requirements and to the decision of the officer at the border.
